Appointment Coordinator

Job Summary:

We are seeking an organized and efficient Appointment Coordinator to join our team. The ideal candidate will be responsible for managing appointments and scheduling for clients, patients, or customers. The Appointment Coordinator will work closely with the Office Manager or Operations Manager to ensure that all appointments are scheduled efficiently and effectively.

Roles and Responsibilities:

  • Schedule and coordinate appointments for clients, patients, or customers using appointment scheduling software.
  • Confirm appointments with clients or customers via phone, email, or other communication channels.
  • Ensure that all necessary information and paperwork is collected prior to the appointment.
  • Assist clients or customers with rescheduling appointments as needed.
  • Respond to inquiries and provide information about the company’s services or products.
  • Follow up with clients or customers to ensure that their needs have been met after the appointment.
  • Communicate with the Office Manager or Operations Manager to ensure that all appointments are scheduled efficiently and effectively.
  • Maintain accurate and up-to-date records of all appointments and client or customer interactions.
  • Collaborate with other team members to ensure that all administrative tasks are completed in a timely and efficient manner.
  • Adhere to company policies and procedures.

Requirements:

  • Proven experience as an appointment coordinator or similar role.
  • Excellent communication skills, both written and verbal.
  • Proficient in using appointment scheduling software.
  • Strong organizational and time-management skills.
  • Ability to work independently and as part of a team.
  • Ability to multitask and prioritize tasks effectively.
  • Excellent customer service skills.
  • Attention to detail.
  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
